Thank you for your interest in vending at Coulee Con. As a vendor at the convention, you must agree to the policies and guidelines provide in this document. In addition to the policies below, vendors are subject to the same rules of conduct as all other attendees. Note that all policies are subject to staff discretion. Vendors who do not comply with these policies may be removed from the convention without warning and without refund. If you have questions, please contact Josh Hertel, coordinator@couleecon.com

General Information

Coulee Con has designated areas for table vendors and artists. These areas are part of the main convention hall. For the 2017 convention, we can accommodate up to 15 table vendors (Tables 1–15) and 8 artists (Tables 16–23). Although we will try to accommodate table requests, table assignment is done at the discretion of Coulee Con. See the last page of this document for hall layout diagram and current table assignments. Table Vending Fee

The cost to vend at Coulee Con is $50 per table. Tables are approximately 72”L x 30”W x 30”H. This includes 2 badges for first table plus one additional badge for each additional table.

Vending Fees

Vending fees are due within two weeks of the date of table registration. Cancellation must be made 30 days prior to the convention to be eligible for a refund. No refunds will be given for any cancellations within 30 days of the Con.

Advertisement

In advertising (social media, print media, etc.) clearly indicate that you are vendor at Coulee Con. Coulee Con reserves the right to ask vendors to remove or modify any posting or advertisement deemed inappropriate.

Set-up

The Con begins at 1pm on Friday. You’ll be able to start setting up in the North Hall of La Crosse Center at 10am. The La Crosse Center does have a loading dock and there is temporary parking in front on 2nd street where you can park to unload things quickly. All materials (badges, passes, etc.) will be ready for you on Friday morning.

Tear Down

The Con ends at 5pm on Sunday. Vendors are asked to have all materials removed by 6pm.

Parking

There are two ramps right next to the La Crosse Center (here is a website with info http://www.lacrossedowntown.com/parking-and-maps/). The ramps are free on the weekend so Friday is only day you’ll need to worry about. The Riverside ramp is free all the time if you can find a spot. Street parking is free after 6pm on weekdays and free on weekends.

Selling Policies

Open Hours

Table vending area hours are Friday 1-7pm, Saturday 10am-7pm, and Sunday 10am-4pm. Outside of these times, table vending is not permitted.

Prohibited Items

The following items are prohibited and cannot be sold at Coulee Con: Food/beverage, animals, weapons, drugs, alcohol, tobacco products, adult, and pornographic materials. Additionally, bootlegged merchandise is not allowed this includes 3D printed figures, videos, etc. Vendors selling unlicensed works or those that break international copyright or trademark law may be removed from the convention with no refund.

Fan Art

Artists creating works for the artist alley are allowed to sell non-mass produced fan art.

Liability

Vendor agrees to indemnify and hold harmless Coulee Con LLC, sponsors, owners, the La Crosse Center, and their respective officers, agents and employees, against all claims, losses, suits, damages, judgments, expenses, costs (including, without limitation, reasonable legal fees) and charges of every kind arising out of or resulting from its occupancy of the space herein contracted for by reason of personal injuries, death, property damages or any other cause sustained by any persons or others. Vendor acknowledges that neither Coulee Con LLC nor the indemnified parties maintains insurance covering Vendor’s property. Coulee Con LLC shall not be responsible for loss or damage to displays or goods belonging to Vendor, whether resulting from fire, storms, acts of God, air conditioning or heating failure, theft, pilferage, mysterious disappearance, bomb threats or other causes. All items brought to the convention are displayed at Vendor’s own risk, and should be safeguarded at all times. Vendor agrees that Coulee Con LLC shall not be liable in the event of any errors or omissions in official listings or in any promotional material. Coulee Con LLC makes no representations or warranties with respect to the number of event attendees or the demographic nature of such attendees.

Right of Refusal

Recognition and acceptance of Vendor’s contract for is entirely at Coulee Con’s discretion. Although Coulee Con’s intention to provide opportunities to as many Vendors as possible, we are not obliged to register any particular Vendor. Not registering a particular Vendor may be the result of a number of factors including not having an appropriate space available, documentation and the payment of fees not being completed in a timely manner, and a previous history of Vendor problems.

Vendor Privacy

Vendor gives Coulee Con the right to use the Vendor’s name or image for promotional purposes. Vendor also grants the Convention the right to release Vendor contact information to the public.

Area Set Up

  • Vendors shall keep all designated areas clean and will not nail, screw, or attach anything to the space. Vendors are asked to use only masking tape or pins in fabric panels to hang temporary decorations, and refrain from using staples, nails, tacks or other forms of tape. Vendors are not to place stickers, paints, or deface venue materials in any permanent fashion.
  • All displays, chairs, tables and merchandise must be maintained within Vendor’s designated area. Designed area includes the table and space immediately behind the table.
  • Up to two signs or banners may be posted behind the vending table. These displays should be no more than 6 feet tall.
  • Signs, banners, and flyers may not be posted on venue property.
  • All cables, cords need to be contained so they are not a hazard.
  • Vendor is responsible for cleaning up their vending area when the Con has finished. If a space is found not to be clean, it will be subject to a $50 cleaning fee.

Selling Location

  • All selling of items must occur within a vendor’s designed area.
  • Peddling/hawking is not allowed.
  • Selling of items by Vendors on convention grounds, which includes the stated event location and adjoining facilities, their parking lots, or any other designated area noted by Coulee Con is not allowed.

Noise

Noise should be kept to a minimum so as not to interfere with other vendors and to permit attendees to hear Vendors and ask questions. Music can be audible but must not interfere with neighboring Vendors. The vendor must have the legal right to play any selection. Vendor assumes all responsibility for acquiring the license to play the music at their booth. TVs can be audible but must not interfere with neighboring Vendors.

Power

Power outlets are available at different points in the La Crosse Center. However, they are not uniformly distributed throughout the space. Vendors who have specific power needs must indicate this when registering and should bring extension cords.

Taxes/Permits

Vendors are responsible for collection and payment of Sales Tax related to merchandise sold at their exhibit space, and shall obtain any licenses, permits, identification numbers, or approvals under federal or local law applicable to its activities during the Event at its sole expense.
